Please read these Terms & Conditions carefully before registering for a Held retreat. By submitting payment and participating in this experience, you acknowledge that you have read, understood, and agreed to the following terms.

 

About the Retreat Experience

Held is an intimate retreat experience designed for rest, reflection, connection, and personal restoration for women, trans, and nonbinary leaders.

Retreat experiences may include:

• group conversations,

• reflective exercises,

• guided experiences,

• movement or wellness offerings,

• excursions,

• meals,

• and opportunities for rest and connection.

While emotionally reflective experiences may occur during the retreat, Held retreats are not psychotherapy, clinical mental health treatment, crisis services, or medical care. Participation in a retreat does not establish a therapist-client relationship between participants and facilitators or staff.

Participants remain responsible for their own physical, emotional, psychological, and medical wellbeing throughout the retreat experience.

 

Retreat Inclusions

Your retreat package includes the accommodations, meals, transportation, activities, and experiences specifically listed on the retreat registration page for your selected retreat.

Included items may vary by retreat offering and location.

 

Retreat Exclusions

Unless specifically stated otherwise, retreat pricing does not include:

• airfare or transportation to/from your home location,

• passport or visa fees,

• travel insurance,

• medical expenses,

• emergency evacuation costs,

• additional lodging outside retreat dates,

• alcoholic beverages,

• Food or beverages outside the all-inclusive plan

• gratuities,

• personal purchases,

• optional excursions or services,

• laundry services,

• spa services not specifically included,

• or other personal expenses.

Participants are solely responsible for all costs associated with personal travel arrangements and expenses not explicitly included in the retreat package.

 

Investment, Payment & Registration

The investment for Held Retreat is:

• Shared Occupancy: $6,497 USD per participant
• Private Occupancy: $7,497 USD per participant

A non-refundable retainer of $1,500 USD is required to reserve your space.

The remaining balance may be paid in full or according to an approved payment plan. Unless otherwise arranged in writing, payments are due as follows:

• Initial Retainer: Due at registration
• Second Payment: Due 120 days prior to retreat start date
• Final Payment: Due 60 days prior to retreat start date

Failure to complete payments by the applicable due dates may result in forfeiture of your reservation and any amounts previously paid, subject to the cancellation policy below.

All retreat prices are listed and payable in U.S. Dollars (USD).

 

Cancellation Policy

Due to the advance planning and non-recoverable costs associated with accommodations, staffing, transportation, meals, retreat experiences, and venue commitments, the following cancellation policy applies:

• More than 90 days before retreat start date: Refund of all payments made, less the non-refundable retainer.
• 60–89 days before retreat start date: Fifty percent (50%) of the total retreat investment will be retained by The Seen Collective, LLC.
• Less than 60 days before retreat start date: No refunds will be issued.

 

All cancellation requests must be submitted in writing to hello@theseencollective.org.

Participants are required to purchase travel insurance that includes trip cancellation and interruption coverage.

The Seen Collective, LLC reserves the right to cancel or reschedule the retreat due to circumstances beyond its reasonable control, including but not limited to natural disasters, political instability, public health concerns, venue closures, or insufficient enrollment. In such cases, participants will receive a refund of payments made to The Seen Collective, LLC, excluding any travel-related expenses incurred independently.

 

Because The Seen Collective, LLC must make substantial payments to suppliers far in advance of the scheduled date on the retreat, if the retreat is cancelled due to forces beyond our control (acts of God, war, labor strikes, earthquake, flooding, etc.), The Seen Collective, LLC will promptly refund the portion of the retreat cost not advanced to suppliers. The Seen Collective, LLC will use its best efforts to recover advance payments as promptly as possible, and will refund to you the amount recovered, if any. However, The Seen Collective does not guarantee recovery of any or all of the advance payments made.  This policy applies to retreat cancellation by client choice following any necessary increase in retreat costs.

No refunds will be issued for:

• unused portions of the retreat,

• late arrivals,

• early departures,

• or missed activities.

 

Travel Insurance

Travel insurance is REQUIRED

Participants are required to obtain travel insurance that includes:

• trip cancellation,

• trip interruption,

• medical coverage,

• emergency evacuation,

• and travel delays.

The Seen Collective is not responsible for financial losses related to travel delays or  cancellations, illness, weather disruptions, transportation interruptions, political events, personal emergencies, or other circumstances affecting travel or participation.Proof of coverage may be requested prior to the retreat. Participants are responsible for all costs associated with obtaining travel insurance.

 

Participant Responsibility

Participants are responsible for:

• obtaining valid travel documentation,

• arranging transportation to/from retreat locations,

• reviewing health and safety considerations,

• maintaining any needed medications,

• and determining their own fitness for participation.

Participants agree to behave respectfully toward fellow participants, retreat staff, local communities, and retreat property throughout the retreat experience.

 

Community Care & Confidentiality

Held retreats are built on mutual respect, emotional safety, consent, and community care.

Participants agree to:

• respect the privacy and confidentiality of fellow participants,

• refrain from sharing private stories or identifying information without consent,

• engage respectfully in group spaces,

• and contribute to a supportive retreat environment.

Photography, video, or recording of other participants should only occur with explicit consent.

While facilitators strive to create a respectful and emotionally safe environment, confidentiality within a group setting cannot be guaranteed.

 

Health & Psychological Considerations

Participants acknowledge that retreat experiences may involve emotional reflection, interpersonal connection, and physically or emotionally activating experiences.

Participants remain responsible for:

• their own emotional regulation,

• mental health care,

• medication management,

• and obtaining additional support if needed before, during, or after the retreat.

Held retreats is not appropriate for individuals currently experiencing:

• acute psychiatric instability,

• active substance dependence,

• active suicidal crisis,

• or conditions requiring a higher level of clinical care.

 

Right to Refuse or End Participation

The Seen Collective reserves the right to refuse participation or require a participant to leave the retreat if behavior is determined to:

• create safety concerns,

• significantly disrupt the retreat experience,

• violate community agreements,

• involve harassment or discrimination,

• or exceed the scope of support the retreat can appropriately provide.

No refunds will be issued in these circumstances.

 

Changes to Retreat Itinerary

Retreat itineraries, facilitators, accommodations, excursions, and activities may occasionally change due to weather, local conditions, safety considerations, or circumstances beyond reasonable control.

Reasonable substitutions may be made when necessary.

 

Force Majeure

The Seen Collective shall not be held responsible for delays, cancellations, losses, injuries, or changes resulting from circumstances beyond reasonable control, including but not limited to:

• natural disasters,

• severe weather,

• acts of government,

• political unrest,

• pandemics,

• transportation interruptions,

• labor strikes,

• or other unforeseen events.

If a retreat must be canceled due to such circumstances, refunds will be limited to recoverable amounts not already paid to third-party vendors or suppliers. Every effort will be made to reschedule you to a later retreat date.

 

Media Release

Photographs or video may occasionally be captured during retreat experiences for future promotional use.

Participants will have the opportunity to opt in or opt out of media use through a separate media consent form.

 

By registering for and participating in this retreat, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
